We take your data protection seriously and are committed to continuing to evolve and improve our data protection and privacy policies through;

The type of personal information we collect 

We currently collect and process the following information in relation to booking Mental Health First Aid England Mental Health Courses:

  • Full Name [First and Second Names]

  • Contact Details [primary email address and phone number]

  • Profession [ie. specific role and/or industry]

  • Home and/or Work address [for sending course materials]

  • Access Needs [optional]

We currently collect and process the following information in relation to booking Applause for thought monthly free group sessions:

  • Full Name [First and Second Names]

  • Contact Details [primary email address and phone number]

  • Access Needs [optional]

We currently collect and process the following information in relation to signing up to our newsletter:

  • Full Name [First and Second Names]

  • Contact Details [email address]

We currently collect and process the following information in relation to booking a 121 check-in when we are engaged as mental health support for an organisation:

  • Full Name [First and Second Names]

  • Contact Details [email address]

  • GP Details or Emergency Contact [depending on the specific process with your organisation in our confidentiality agreement which would be communicated with you]

We currently collect and process the following information in relation to joining our signposting directory:

  • Full Name [First and Second Names]

  • Contact Details [email address, number, website, socials if applicable]

  • Proof of Qualifications [certificates]

  • Proof of Insurance [PDF/Screenshot/Certificate]

What about sensitive information 

If you share sensitive information with us when reaching out for support or signposting via email such as the condition of your mental health or the symptoms you are experiencing or when sharing your access needs/concerns you have in relation to attending a course or group session - we will delete this email/information within 24 hours of the course completing or the signposting support completing.

We aim to never share sensitive information over email and encourage the organisations we work with to do the same.

Why do we have it

All the information we process is provided to us directly by you for one of the following reasons:

  • To register you with as a participant with Mental Health First Aid England and Enabley [if applicable] in order to take part of one of their training courses we facilitate

  • For correspondence leading up to, during and after your course, with the sole purpose to share information relating to the course

  • To email you in the future to let you know your qualification [if applicable] is expiring

  • To help us create a safe learning environment for you and make reasonable adjustments if necessary, during your course or session [if you have shared you have access needs.]

  • To send you the zoom link and important joining information for one of our online group sessions and let you know when the next one is taking place

  • To book in a 121 check-in/send follow up signposting support [if accessing support with us via your organisation.]

  • In order to offer to signpost you [if reaching out for mental health support, information or resources]

  • In order to signpost to your services and check your qualifications and insurance [if joining our signposting directory]

How do we get it

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting info@applauseforthought.co.uk

(b) We have a contractual obligation in order to complete the course registration for your place on a Mental Health First Aid England course.

Who do we share it with

  • We will share your information with your qualified Mental Health First Aid England Accredited Course Instructor, Mental Health First Aid England and Enabley [if applicable] if you are attending a course.

  • We will share your information with your Group Session Leader if attending one of Applause for thought’s monthly group sessions.

  • We will share your information to fulfil our legal duties e.g if there is an emergency in relation to the safety of yourself or someone else, or child protection.

We do not share or sell your information to random third parties.

How we store your personal information 

Your relevant information is securely stored in our: 

  • Website booking system bookwhen [for all courses and group online sessions]

  • Applause for thought’s central one drive [for all courses, group online sessions, signposting directory] 

  • Mail Chimp [if you signed up to our newsletter]

  • Calendly [if you book a 121 check-in with us when accessing our support via your organisation]

  • Email Inbox [all correspondence in relation to courses, group online sessions and signposting] 

All systems are password protected with multiple-factor authentication and limited internal personnel access. 

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

While we will always take every reasonable step to keep your data safe, we will always aim to self-report the ICO if we are concerned there has been a data breach.
